When you're doing business with a courier service, it can seem like there is a lot to keep track of. There are a lot of different types of documentation, forms, and options that you have, and it can be confusing to know which you need and which you don't. The one thing that you should always insist on though, is an option for receiving an electronic instant proof of delivery, preferably with signature capture.
An instant proof of delivery is simply this. After your courier completes your delivery successfully, you will receive a notification, usually via email, that lets you know that they have completed the task assigned them. This can then be retained for future use should there ever arise a problem about the delivery from the end of your client.
One very useful feature of proof of delivery with the current technology is the use of electronic signature capture. Most courier drivers now carry a handheld unit which they can have the recipient of a package sign with a stylus to capture an electronic version of their signature. This is then sent to you as part of the POD. That way, you not only have confirmation from the courier that the delivery was made, but physical proof that someone accepted it on behalf of the people you sent the package too.
Most POD notifications are now sent in real time. Wireless communication has made great advances possible in the courier industry. Now, after your delivery is made and finalized by the driver, their device can automatically email you the information. This is useful as well, because you then have confirmation the minute your delivery is made, so you don't have to waste any more of your time checking the status of your delivery online.
This sort of feature is something that almost every courier has now implemented, because since its inception it has been something that has been in very high demand by the clients of courier companies. Some courier companies may have real time POD available without signature capture. The ability to provide electronic signature capture is based on what handheld units the company has available to them. Most have now upgraded to the units which can capture signatures, and if your courier company has not, you may want to ask them if there is a reason for this, and if they will be upgrading any time in the future.
