If your company is large enough that you require the services of a paper shredding company, the truth is that you're probably dealing with truly massive volumes of documentation that needs to be destroyed. It would be impossible for one person to keep track of every single document and make sure that any which contained important information were never exposed to even the shredding company. Instead, it is easier to realize that paper shredding companies exist to help you protect your privacy and that of your clients, and that you don't have to worry about protecting it from them, especially because they should be more than willing to sign a confidentiality agreement before going to work for your company.

Many might feel bad about asking a company to sign a confidentiality agreement before hiring them to do something as simple as shred your documents. You should not, and this is something that you should absolutely insist on from every shredding company that you do business with. This is such common practice that many of these companies actually include a confidentiality agreement of some kind in their basic contract of service that they offer to you.

Don't let that be enough though. It is very important that you are well protected in this area, because the information that belongs to your customers or employees is yours to protect until it is completely destroyed, meaning you would be liable if anything leaked. You should have your legal advisors draw up a confidentiality agreement that will be iron clad for the workers at the shredding company to sign before they ever lay hands on one of your important documents.

These papers actually typically need to be signed by several people at the shredding company. You should send over a copy to be signed by the manager or the owner to show that there is a confidentiality agreement in place between your two organizations. You should also require though that the employees who come to your site each sign one as well. Anyone that touches any of your paperwork needs to be legally bound to protect the information contained in those documents.

This might sound like a lot of preparation and suspicion, but it's not. Many companies have faced lawsuits because they did not adequately protect confidentiality. A simple agreement between you and a shredding company will help make sure that this never happens to you.
