The series of steps involved in the process of content management starts right from the writing part of the content to editing, formatting, publishing and administrating the same. With the digitization of the economy, the data storage and management requirement has also been digitized. Over the conventional paper scripting of information and corporate content like memorandum, ledger books, companies now prefer the digital form of data in files and folders of computers. This increased the need of content management tools and systems to manage this data, as they provide web access to the owner or any associated authority and content can also be remotely managed.

The need for managing this digital data didn't raise the need of content management. In fact, the need for content management arose long before the introduction of digital data. Only the management techniques have been changed since then. As we have seen, only a few decades ago, the information processing was a whole series of steps with long execution time, which now has shrunk to a few steps governed by a single authority or few with less time in publishing or updating information.

Moreover, content management tools, which are primarily Enterprise Applications, were introduced to meet the requirements of the organization. Earlier, there used to be a separate content writer/editor for writing the content which was then reviewed by a separate entity, who then formatted the content in the HTML form and forwarded to publisher, who then published the data. In case of any grammatical error or factual error in the content, the administrator forwarded the request to the content owner, who then reviewed the request and acted accordingly and the re-publishing of the material would then take another couple of days.

With the introduction of content management tools, the content owner can now write and format the content accordingly, without having the knowledge of HTML. In case of review and re-publishing request for content, the request is directed to the owner directly and owner can update the content in no time thus diminishing the republishing time from days to hours.

Since the process of content management has been automated through various Software Development Services, we have seen a tremendous growth in the quality and format of content documentation. Even more smart management tools are there that automatically place the break tags, paragraphs in a long written and non-formatted article or blog and add appropriate links in it.

The automation process has the following impact on content management:

• Faster Updates, the content owner can make the changes in the content directly and publish by himself by-passing all the steps generally used to republish the content, like the one's mentioned above.
• No HTML, with content manager tool, the step of formatting is bypassed, the content owner can perform the formatting task on it's own with the content manager form provided with the tool. To build a link, owner provides the link and highlights the keyword to be used as a link in the fields provided in the manager form & and link is ready to use.
• Credibility, it is often in use to provide user name and password before editing content and setting a limit to the amount of accessibility to the content. This ensures that no unauthorized editing of the content can be done which may provide wrong information to the subscriber and even if the content is edited with wrong information, the offender can be tracked.
• Standardization, most content management tools provide a template environment to writer, so certain areas of a content page cannot be changed by the owner. This gives a sense of standardization about a particular template and can be associated with a particular organization, to distinguish it.

More generally, content management tools or systems support the organization in a way to organize, filter and control the limit of accessibility to the information gathered by it to distinguish it with other or related business process in the market.
